Full Time Staff Scheduler

Reporting to the Manager of Clinical Services & Supported Living Homes, the Full Time Staff Scheduler will provide operational support to the agency, in particular Adult Services, to ensure cost efficiency and effectiveness. The Full Time Staff Scheduler is responsible for ensuring that all legislation, policy and procedures pertinent to this service are upheld within the scope of their position. This position will work a compressed workweek. 

Duties and responsibilities will include, but not be limited to:

  • Develop and maintain a central scheduling program for all direct support staff in adult services, including current work assignments and shift rotations for each employee
  • Ensure accurate schedules are available and prepare and post monthly schedules for all program areas, in accordance with the CA and scheduling procedure
  • Review direct support staff time sheets to ensure accuracy and authorization for payment
  • Review and follow up accordingly to all time off requests against agency threshold and location criteria and proper request procedure as per Collective Agreement and Scheduling process
  • Ensure all administrative documents are kept up to date as required, including maintaining the call-in lists and distributing as required
  • Identify and correct irregularities or conflicts in staff schedules and make recommendations when building or changing schedules
  • Advise Managers of any centralized scheduling issues or concerns that may affect the operation of specific programs and support needs of individuals and ensure that non-scheduling issues are redirected to the appropriate Supervisor
  • Participate in new employee onboarding and provides training with respect to scheduling process and expectations
  • Participate on the scheduling committee
  • Represent the agency in a positive manner and ensuring confidentiality is maintained at all times

To be considered as a candidate, the successful applicant must have the following minimum qualifications and experience:

  • Post-Secondary diploma, preferably in Social Services or business field
  • Experience in scheduling and using scheduling software
  • Good understanding of the Employment Standards Act and Collective Agreement, with the ability to apply regulations as they pertain to scheduling
  • Ability to work flexible shifts during the day, evening and weekends
  • Detail orientated with excellent customer service skills
  • Excellent computer skills, organizational skills, time management skills and ability to multitask
  • Demonstrated understanding and awareness in establishing and maintaining schedules within budgetary constraints
  • Capacity to work under pressure with attention to detail and be able to simultaneously address numerous tasks and priorities
